Privacy Policy

01Who we are

This website is run by Vuelance LLP, a limited liability partnership registered in India (LLPIN ACV-6733), with its registered office at Second floor, KP Tower, Thurakkal, Manjeri, Keralam 676122, India. In this policy, "Vuelance", "we" and "us" mean Vuelance LLP, and "you" means anyone who visits vuelance.com or gets in touch with us through it.

We decide why and how the personal data described here is used, so we are responsible for it. Indian law calls that a data fiduciary; laws such as the EU GDPR call it a controller.

For anything to do with your personal data, write to contact@vuelance.com. Products we make and run separately have their own privacy notices, which also cover any payment details they take.

02What we collect

Only what you choose to send us, plus the basic technical records every website produces.

• Project enquiries: your name, email, phone or WhatsApp number, company, how you would like us to reach you, and whatever you tell us about your project.
• Career profiles: your name, email, the kind of work you do and how you want to work, your experience, a LinkedIn, GitHub or portfolio link, and a note about something you built.
• Partner applications: your name, country, email, WhatsApp number, what you do and the kinds of businesses you know.
• Newsletter sign-ups: your email address, and when you signed up and confirmed. Once you are subscribed, Beehiiv, which sends the letter for us, also records whether you open each issue and which of its links you click.
• Messages: anything else you send us by email, phone or WhatsApp, including what your email signature or WhatsApp profile shows.
• Visit statistics: which pages are read, when, roughly where from (country or city) and on what kind of device. If you allow detailed measurement, also which buttons you press, which services and projects you open, which contact options and outside links you use, what you search for and whether you send an enquiry.
• Technical records: when your browser loads a page, the company that hosts this site records your IP address, browser type, the page requested and the time. Every web host does this, mostly to keep sites secure and working.

Visit statistics never include your name or contact details, and nothing you type into a form goes to Google.

Please do not send us passwords, card numbers, health details or anything else sensitive through the forms. We never need them to answer an enquiry.

03How the forms work

Nothing is sent until you press the button. When you do, your answers to the project enquiry, career or partner form travel over an encrypted connection to our own server and are stored in our database, which only the people at Vuelance who need them can open.

"Send on WhatsApp" on the enquiry form works differently. It opens WhatsApp with the message written out. You can read it, change it or close it without sending, and nothing reaches us until you send it yourself. From there it travels like any other WhatsApp message, under WhatsApp’s own privacy policy.

The newsletter sign-up on the blog is a form from Beehiiv, the service that sends our letter. It stays switched off until you tick the box agreeing to receive the letter and to Beehiiv holding your address, and until then nothing loads from Beehiiv. What you type into it goes straight to Beehiiv over an encrypted connection, not to our server. Beehiiv then emails you a link to confirm, and you are not on the list until you press it.

To stop the forms being flooded, our server counts how many forms each internet address sends in a few minutes. That count is held in memory for those few minutes only and is never saved with your answers. An address that sends far more than a person would is blocked from the forms for a day or longer, and stays on our block list until 30 days after the block ends.

04Why we use it

Each use below has a lawful basis, which is the reason the law accepts for it.

• Answering you: replying, arranging a call and preparing a proposal or quote. Basis: you asked us to, before any agreement.
• Running client projects: doing the work, invoicing, and keeping the records tax and company law require. Basis: our agreement with you, and our legal duties.
• Career profiles: keeping yours on file and considering you for roles and project work. Basis: your consent, given when you tick the box on the form.
• Partnerships: assessing your application, tracking referrals and paying commission. Basis: your application, then the partner agreement.
• The monthly letter: sending it to you, and seeing which issues and links readers open so we can make it more useful. Every issue has a link to unsubscribe. Basis: your consent, given when you tick the box under the sign-up form and confirm by email.
• Detailed measurement: recording what you click, open and search for, so we can see what helps people and what does not. Basis: your consent, given in the analytics dialog.
• Basic visit counts and security: counting page views, finding faults and blocking addresses that flood the forms. Basis: our legitimate interest in running a site that works and stays safe, kept to the minimum that needs.

We do not sell personal data, rent it out or use it for advertising.

05Cookies and analytics

This site uses Google Analytics 4 to see which pages people read and how they move between them. It keeps a few small things in your browser, and none of them are used for advertising:

• _ga and _ga_ followed by our property ID: first-party cookies set by Google Analytics. They hold a random identifier so that two visits from the same browser can be told apart, and expire after two years.
• vuelance:analytics: your choice in the analytics dialog, kept in your browser’s local storage so the dialog does not ask again. It stays until you clear your browser data.
• vuelance:analytics-asked: a note in session storage, made only if you close the dialog without choosing, so it does not reappear on every page. It is deleted when you close the tab.
• Google Maps cookies: Google may set its own cookies once the map on the contact page loads.
• Beehiiv cookies: Beehiiv may set its own cookies once you tick the box that opens the newsletter sign-up form on the blog.

Basic counting is always on. Detailed measurement is off until you allow it in the dialog on your first visit. Google Analytics does not store full IP addresses, and we have turned its advertising features off: no Google signals, no ad personalisation and no advertising cookies.

Your choices

Open "Analytics settings" in the footer to change your choice at any time. You can also block or delete cookies in your browser settings, or install Google’s opt-out add-on, which stops Google Analytics on every site you visit. The site works the same either way.

06Other services on this site

A few parts of the site come from other companies, and your browser connects to them directly to load them:

• Google Analytics: processes the visit statistics on our behalf under the Google Privacy Policy. Google explains how it uses data from sites like this one.
• Google Maps: shows the map on the contact page.
• Beehiiv: shows the newsletter sign-up form on the blog, keeps the list of subscribers and sends the letter, under the Beehiiv Privacy Policy. Your browser only connects to it once you tick the box under the form.
• WhatsApp, email and Google Meet: used when you choose to reach us through them.
• Social networks: reached when you follow a link to one of our profiles or use a share button on an article. Nothing goes to them until you click.

Fonts and icons are served from this site itself, so loading them tells nobody else that you were here. Each company above uses what it receives under its own privacy policy. If we ever add advertising or anything else that tracks visits, we will update this page first.

07Who else sees it

Inside Vuelance, only the people who need it, such as the core team that would lead your project. Outside it, we share personal data only with:

• Our service providers: website hosting, email, calendar, video calls, file storage and accounting, which handle it on our behalf.
• Your project team: the engineers and specialists working on your project, and only what they need for it. Everyone on that team works under a confidentiality agreement.
• Google: for the analytics. It never gets your name, your contact details or anything you write in a form.
• Beehiiv: beehiiv Inc., in the United States, which keeps the newsletter list and sends the letter on our behalf. It gets your email address if you subscribe, and records which issues you open and which links you click.
• Professional advisers: such as our accountants and lawyers, when they need it to advise us.
• Authorities: when the law requires it, or when it is needed to protect our rights or someone’s safety.
• A new owner: anyone who takes over the business if Vuelance is ever merged or sold, who must then keep to this policy.

08Where it is stored

We are based in India and work with clients in the Gulf, Europe, the US and Australia, so some of the services above keep data on servers outside India. The newsletter list, for example, is kept by Beehiiv, a company in the United States. When your data leaves India, or the country you are in, we only use providers that protect it to a standard at least as high as this policy, and never send it anywhere Indian law does not allow.

09How long we keep it

• Enquiries that do not become a project: up to two years after we last spoke, in case you come back to it.
• Client records: for as long as the project and any support run, then for as long as Indian tax and accounting law requires.
• Career profiles: until you ask us to remove yours, and no longer than three years after you last updated it.
• Partner records: for as long as you are a partner, then for as long as we need them to settle commission and keep our accounts.
• Newsletter: your address, and the record of what you opened and clicked, until you unsubscribe. After that we keep your address only marked as unsubscribed, so the letter is never sent to you again, and delete it completely if you ask.
• Visit statistics: up to 14 months in Google Analytics, then only as totals that identify nobody.
• Server logs: for the short period our hosting provider keeps them.
• Blocked internet addresses: until 30 days after the block ends.

After that we delete it, or remove anything that could identify you.

10Keeping it safe

Every page and form on this site is served over an encrypted connection. We keep personal data in business accounts and a database that only the people who need it can open, and we take reasonable steps to protect it, as Indian law requires.

No system is perfectly secure, and ordinary email is not encrypted end to end, so think twice before sending anything you could not afford to have exposed. If a breach ever puts your data at risk, we will tell you and the authorities as the law requires.

11Your rights

You can ask us at any time to:

• Tell you what personal data we hold about you and how we use it.
• Correct it, complete it or bring it up to date.
• Delete it, unless the law requires us to keep it.
• Stop using it for something you agreed to, such as keeping your career profile on file or sending the newsletter. This does not undo what we did before you asked.
• Let someone you name use these rights for you if you die or can no longer use them yourself.

Write to contact@vuelance.com from the address you used with us, or tell us how else we can check it is you. We will answer within 30 days.

To stop the newsletter, you do not need to write to us: the unsubscribe link at the bottom of every issue takes you off the list straight away.

Depending on where you live, local law may give you further rights, such as objecting to how we use your data or getting a copy to take elsewhere. Ask, and we will honour them.

12Questions and complaints

Our grievance officer for personal data is Ali Hassan, Founder. You can reach them at contact@vuelance.com or by post at our registered office.

If our answer does not resolve your complaint, you can take it to the Data Protection Board of India. If you live outside India, you can also go to the data protection authority where you live.

13Data in client projects

When we build or run software for a client, we may handle personal data that belongs to the client’s own customers or staff. The client decides how that data is used, and our written agreement with them sets out how we handle it. This policy does not cover that data.

14Children

This site is for businesses and the people who run them. We do not knowingly collect personal data from anyone under 18. If you think a child has sent us their details, tell us and we will delete them.

15Changes to this policy

When the way we handle personal data changes, we update this page and the date at the top. If a change affects people who have already sent us their details, we will tell them directly.
